A coaching business that runs itself between sessions. Application intake, qualification, booking, onboarding and follow-up automated end to end — plus the operations behind a growing paid community.

The problem

Samadki is a somatic coaching practice run by Valeria Itriago — nervous-system work for high-achieving women, sold as a six-week group container with an application-based intake. The offer is deliberately selective, which is exactly what makes it expensive to run.

A coach with a six-figure social audience generates far more enquiries than a cohort has seats. Every one of them still needs answering, qualifying, booking and onboarding. Done by hand, that work scales linearly with reach, and the person doing it is the same person who has to be present and regulated in the room. The admin was competing directly with the service.

The approach

One pipeline from first message to post-programme follow-up, with no manual handoffs in the middle.

  • ManyChat at the front of house — capture and first-touch qualification on social, where the audience already is, rather than forcing a jump to a form
  • n8n and Make as the back office — applications routed, scored against cohort fit, and pushed to booking without anyone re-keying a row
  • Onboarding sequences that fire on acceptance: resources, expectations, calendar holds and pre-programme assessment
  • Community operations behind the paid Skool space — member onboarding, class reminders and retention touchpoints on their own schedule

Why it mattered

The constraint on a practice like this is never demand — it is the founder's attention. Automation here isn't about volume for its own sake; it's about making sure the selective, high-touch part stays high-touch by taking everything around it off the founder's desk.

The same shape applies to most coaching, cohort and community businesses: the offer is personal, the operations around it should not be.
